Orders into your ERP
Orders in your ERP, without entering them twice.
Customers keep sending orders by email, PDF or Excel. Klarvai extracts the lines, checks references and prices and prepares the ERP order. Your team reviews discrepancies.
Free assessment · Scope and price before you start
The same process. Fewer manual steps.
An order means identifying the customer, matching product codes, applying prices and telling the warehouse. Repeating that chain manually delays everything that follows.
- Before
- Open email → find customer → copy lines → check prices → check stock → save → notify warehouse.
- After
- Order received → validation against your data → ERP order. Unknown references and differences remain pending.
Collect the order
Read the agreed channels and formats while keeping the source document.
Identify and check
Match customers and product codes, apply price lists and check availability when the ERP exposes it.
Prepare the entry
Create an order or draft, preventing duplicates when the same request is forwarded or retried.
Coordinate the next step
Notify the responsible team and put exceptions in a review queue with a reason.
A good starting point if…
- Your team manually enters orders with multiple lines.
- You have a product catalogue and identifiable commercial rules.
- Your ERP supports a connection, import or entry workflow we can test.
What we check first
Automation will not fix an outdated catalogue on its own. First we identify references, rules and data that need cleaning.

What does this task cost you?
Enter your volume and the time your team spends. Calculate the cost of manual work to start the conversation with data.
Check all three values. Use non-negative numbers and a whole monthly volume within each field’s limit.
Initial values are examples. Formula: monthly volume × minutes ÷ 60 × hourly cost.
Today, this task represents
- Time per month
- 53.3 h
- Monthly cost
- €1,173
- Annual cost
- €14,080
This is the value of time spent, not guaranteed savings. Human review, maintenance and tool usage also count.

Try your own assumptions. The percentage estimates time released; costs should include tools, usage and maintenance. These are not Klarvai prices.
Complete all three assumptions to see the estimated return.

Order prepared in ERP
Customer, reference and price match the sample catalogue. Order prepared for €180.00 before taxes.
Reference pending
Reference ART-999 is not in the sample catalogue. No order is created: the team needs to assign a valid product.
Illustrative simulation. Your case is validated through a pilot with your formats and rules.
Before the next step
Do customers need a new format?
We start with the documents they already send and test a sample to identify which formats work and which need a template or review.
Will it work with my ERP?
We check your ERP version, permissions and integration options. APIs, imports and accessible interfaces are possible routes; compatibility is confirmed during the assessment.
What if a product is not recognised?
The order remains pending with the unresolved reference. A person assigns the match or corrects the data before it continues.
Can it read WhatsApp orders too?
We can assess that channel as part of the scope, including WhatsApp Business access, message formats and customer identification.
