Automation for accounting, legal and advisory firms

In a firm the bottleneck is the document: it arrives by email, someone has to work out which client it belongs to, what it asks for, where to file it and what to do next. We read incoming documents with AI, classify them by client and matter, extract the data that would otherwise be typed and file everything in its place, with search across case files answered in seconds.

Signs you need this

  • Every morning someone opens the inbox and distributes emails and attachments by hand.
  • Client invoices are keyed one by one into the accounting system.
  • Finding a clause or a two-year-old document takes longer than drafting it.

What we automate in this sector

  • Email triage

Every message in a shared inbox reaches the right person, with the data extracted and a reply drafted.

    In
Everything arriving at shared inboxes like info@, orders@ or support@.
    Out
Email labelled and assigned to the right person or department, with the draft ready.

Outcome: The shared inbox stops being a bottleneck: nothing waits for someone to sort it.

  • Invoices and delivery notes

Stop typing supplier paperwork: it gets read, checked and booked on its own.

    In
Invoices and delivery notes as PDFs or photos, by email or in a shared folder.
    Out
A record in your accounting software or ERP, with the document attached and the entry proposed.

Outcome: 80–90% of invoices processed with no manual work.

  • Intelligent document search

Search by what a document says, not by what the file is called.

    In
Everything you have stored: PDFs, Word, Excel, emails, scans and minutes.
    Out
The relevant documents ranked, with the passage that answers already highlighted.

Outcome: You get back the hours spent today looking for a document you know exists.

  • Contracts and documents

Contracts, policies and addenda read, filed and watched, with their key dates under control.

    In
Signed contracts, insurance policies, addenda and renewals arriving by email or e-signature.
    Out
An organised file, a contract summary and alerts ahead of every expiry or renewal.

Outcome: No auto-renewal catches you out, and finding a contract stops being a search.

A typical scenario

Example scenario, not a client: an accounting firm keeping the books for around a hundred small companies.

Situation
Clients send invoices and documents by email and WhatsApp in no particular order. The team identifies, renames and files them and keys the entries. Quarter-end eats two weeks.
What we build
A flow that reads each document, assigns it to the client, extracts the accounting data and leaves it ready in the system to validate. An internal assistant searches the case files and answers quoting the document.
What changes
The team validates instead of typing, the archive is always in order and questions about a file are answered without opening folders.

What we get asked in this sector

What about client confidentiality?
Each person in the firm sees only what they could already see: the assistant respects the permissions you have on your folders. We work with GDPR-compliant providers and document which data is processed and where it is stored.
Does it integrate with the accounting software we use?
Yes, that is the starting point. With the common packages we connect via API; where there is none, we generate the import in the format the software accepts.

Does any of this sound familiar?

Tell us the one that takes most of your time. The diagnosis is free and in writing, with a fixed scope and price. If automating it does not pay off, we will tell you.

Scenarios are illustrative examples, not clients. The concrete target for your process is set after the diagnosis, in writing.
